Expense Management Through Lotus Notes
Greetings! I am Boris Beancounter, Bizco's accountant. I'd like to tell you about a Lotus Notes expense reporting solution that really made the difference for myself and the other Bizco staff, the Tracker Suite® Expense TrackerTM
Our Bizco staff, particularly Joe User and Sally Sales, often find themselves working for clients at remote locations. For them, keepinging track of all expenses for travel, lodging, food, or project materials, then importing them when they returned to the office was a major pain. With Expense Tracker, they can submit reports through any Notes client or over the Web! Expense Tracker supports foreign currency conversion, so even if their on assignment outside of the United States, when I review their expenses for processing I know I'm looking at accurate figures.
Expense Tracker's streamlining of the expense report process extends beyond submission, though. I enjoy its secure, automatic expense report routing based on predetermined roles, approval cycles, and sending limits set in Personnel TrackerTM. Also, Expense Tracker automatically imports current billing information from Customer TrackerTM. This automation improves our billing cycle by drastically reducing addressing errors and missbillings, saving Victor and myself from angry customers and a lot of headaches!
So as you can see, Expense Tracker really streamlines the entire expense report process. Some of the features we really enjoy here at Bizco are:
- I can create and submit an expense report by myself, or someone with the appropriate security (i.e. my supervisor Mark, or our IT Director, Carlos) can create one for me.
- Mark and Boris both like how Expense Tracker monitors and records all editing of reports, including their authoring, creation, and modification with electronic signatures. This security ensures reporting accuracy and gives them some peace of mind!
- I have remote remote access to expense reports. I can review my reports from any Notes client or the Web. Mark and Boris can review, approve and disapprove ALL expense reports submitted to them remotely as well.
- Expense Tracker supports multiple currencies and rate conversions, allowing me to submit accurate expense reports wherever I'm working from.
- I can expense items to a project, client or mark them "nonbillable".
- The In/Out Box interface Expense Tracker provides make it easy to for me to create and track my expense reports.
- It includes support for bill back of expenses to customers or internal cost centers.
- Boris in our accounting department enjoys its up-to-date accounts payable lists.
- Expense Tracker's automatic reporting allows Boris and Victor Vice President (our executive) to view real-time data by employee, project, customer, cost center or period.
- Expenses can be reported as billable or non-billable
- All billing information is automatically imported from Customer Tracker, improving our customer service process.
- Billing information is attached to the expense report throughout the approval process, improving reporting and accounting.
- Expense Tracker generates detailed billing slips, suitable for mailing. Both Mark and Ashley Admin (our head of administration) enjoy the way this simplifies their work.
